A rapidly growing facilities management company had been acquiring smaller companies over several years. As a result, they had many different SQL databases running on different versions of SQL Server. Some of these databases were running on defunct, outdated and unsupported versions, some dating back to 2005, which not only became increasingly challenging to maintain as they continued their growth but also represented a major security risk.

Due to a recent acquisition, Cyber Samurai were tasked with migrating the financial data of an acquired company into the much larger billion-pound turnover parent business.

Financial data needed to be transitioned between two accounting packages; Sage 200 was the source, and the destination was Open Accounts. The migration needed to be completed accurately and quickly to coincide with group reporting dates and deadlines. Acknowledging that this was a skilled process and with limited capabilities internally, Cyber Samurai were engaged.

 Improved database efficiency reduces risks highlighted in health check

After successfully upgrading the spreadsheets, Cyber Samurai conducted a thorough assessment of their data and database systems. This digital health check (Link) revealed that the company’s SQL server had been running ‘out of the box’ with minimal modifications. Other issues were also uncovered such as data corruption risks that were unchecked and previously undetected performance bottlenecks.

 In order to rectify some of the issues identified in the health check and provide the ongoing database support that they needed Cyber Samurai introduced their Database Administration as a Service (DBAaaS) (Link). This provided continuous monitoring and management of the company’s data platform, ensuring that the system ran smoothly and was always available. The peace of mind that came from having expert DBAs overseeing their data infrastructure was invaluable.

Streamlining 80,000 Invoices a Year: The Power of Automated Data Extraction and Entry How Automated Invoice Processing Transformed Financial Operations for a UK Construction Leader

Finding a solution to increase efficiency and reduce invoice processing times needed to incorporate security features and confidence scoring capabilities to maintain high levels of accuracy throughout. Once they could see what the potential savings could be, it was an easy decision to move forwards with automation.

Cyber Samurai developed a bespoke automated invoice processing solution to streamline this critical process. Using Microsoft Power Automate and Azure AI Document Intelligence, we automated the extraction of invoice data held in incoming email attachments and automatically input it into the client’s finance platform. The AI was trained to recognise various invoice structures, ensuring that it accurately captured essential data such as supplier details, invoice amounts, and payment deadlines, regardless of differences in wording, format or layout. Building on this newly optimised process we also enabled additional performance reporting capabilities such as the number of invoices processed, and the cumulative invoice values.

Revolutionising Membership Renewals: Achieving 90% Efficiency Gains Through Automation

Their renewals process required outreach to over 2000 contacts but the data extraction and transfer between the two companies was very manual and time consuming and posed a risk to the integrity and security of member data. Improving the campaign process would help to safeguard data and expedite how and when member funds were received.

The organisation identified the following issues as having a specific business impact.

The renewal campaign process was repeated regularly throughout the year and the end-to-end process needed to be less manual and more time efficient.

Renewal information coming back from the telemarketing agency needed to be converted into a CRM compatible format before being imported into the Dynamics CRM system. Data preparation was taking up to 45 minutes and was the most time intensive part of the campaign process. Reducing this time would significantly impact the entire campaign.
